Body Corporate Manager

Our Body Corporate Manager is BCSystems. They are professional administrators whose primary role is to handle the day-to-day administrative, financial, and secretarial duties, ensuring our body corporate operates smoothly and complies with Queensland's legislative requirements.

They do not make decisions for the Body Corporate. In reality, they act on the instructions of the Committee and the owners, providing advice and implementing their lawful decisions.

What they do

A significant portion of a manager's role involves record-keeping and communication. This includes:

  • Organising Meetings: Preparing and distributing agendas, notices, and minutes for Annual General Meetings (AGMs). They are also available at additional expense, to organise any Extraordinary General Meetings (EGMs), or regular committee meetings if required.
  • Managing Correspondence: Acting as the central point of contact for correspondence with lot owners, contractors, and other third parties.
  • Maintaining Records: Securely keeping and maintaining the Body Corporate's register of lots, records of motions and decisions, contracts, and all other official documents as required by law.
  • By-Law Assistance: Assisting the Committee in the process of enforcing by-laws, which may include issuing notices for breaches as directed.

 

Financial Management

The financial health of the Body Corporate is a critical responsibility managed by the Body Corporate Manager. Key tasks include:

  • Budget Preparation: Preparing a draft annual budget for both the administrative fund (day-to-day operational costs) and the sinking fund (future capital works) for the Committee's review and owner approval.
  • Levy Management: Calculating and issuing levy notices to all lot owners and actively managing the collection of these contributions. This also includes handling the process for recovering any overdue levies.
  • Paying Invoices: Processing and paying all invoices for services rendered to the Body Corporate, such as insurance, repairs, and maintenance, from the Body Corporate's funds.
  • Financial Reporting: Preparing regular financial statements, including income and expenditure reports and balance sheets, to provide transparency to all owners.

 

Legal and Compliance Guidance

Navigating the legislative landscape is one of the most valuable services a Body Corporate Manager provides. Their role here is to:

  • Ensure Legislative Compliance: Guide the Committee and Body Corporate to operate in accordance with the Body Corporate and Community Management Act 1997 and the regulation module (Accommodation) the scheme is registered under.
  • Insurance: Arranging for the renewal and placement of the Body Corporate's compulsory insurance policies, such as public liability and building replacement cover, and assisting with the management of any claims.
  • Dispute Resolution: Providing procedural advice to help resolve disputes between owners or between owners and the Body Corporate, in line with legislative processes.
